The Role & Team:

The successful candidate will support the HR function by overseeing and administering payroll operations, employee benefits management, visa process coordination, and internal/external audit compliance.

In this role, you will be responsible for managing the payroll process and administering employee benefits programs to ensure compliance with company policies and legal requirements. You will play a vital part in supporting our employees by facilitating accurate and timely compensation while ensuring that they have access to a comprehensive benefits package that meets their needs. The ideal candidate should have a strong understanding of payroll systems, benefits administration, and employment regulations.

As a Payroll & Benefits Administrator, you will collaborate closely with HR and Finance teams to streamline processes, improve efficiencies, and enhance the overall employee experience. You will be tasked with troubleshooting payroll issues, providing excellent customer service to employees regarding their benefits inquiries, and contributing to the development of policies and strategies that align with our organizational goals. Key Responsibilities:

Payroll Administration

  • Manage payroll for US, Canada (vendors: ADP, Velocity Global).
  • Collect and verify payroll changes, including new hires, terminations, compensation updates.
  • Process 401(k) deductions and adjustments in the Empower system.
  • Handle commission and bonus inputs provided by Finance.
  • Coordinate hourly employee timesheets and validate entries.
  • Enter and verify all payroll data in ADP Workforce Now.
  • Review payroll runs for accuracy prior to submission.

Benefits Administration

  • Administer benefits via FLOCK system.
  • Ensure new hires are enrolled or waive benefits within 30 days.
  • Maintain deduction data and sync updates with ADP payroll.
  • Offboard terminated employees and process COBRA or benefit terminations.
  • Liaise with insurance vendors (e.g., The Hartford, Chubb) for annual renewals and claims.

Audit Support

  • Prepare for annual payroll and 401(k) audits (vendors: ADP, Caron Bletzer PLLC).
  • Coordinate with external auditors for document provision and clarifications.
  • Maintain accurate documentation for tax filings, policy renewals, and internal reviews.
  • Support ISO and internal HR audits with required reports and proof of compliance.

HR Support:

  • P/O processing
  • Lucca’s & Teamtailor updates
  • HR administration
