Archive Job Description is searching for a People Operations Specialist to help us support the experience of employees across a range of countries across the globe, with a particular focus on our European Teams.
We’re a social impact business (a public benefit company), and the largest tech platform focused on civic action in the world with 50m monthly users, 50,000 campaigns launched on the site every month, 200 staff, and a new revenue model that has grown by 500% in 2 years. We’re growing quickly, and our users win campaigns for change once every hour. From strengthening hate crime legislation in South Africa; fighting corruption in Indonesia, Italy, and Brazil; to fighting violence against women in India.

We are looking for a People Operations Specialist who is great at supporting the full HR lifecycle at scale and has a passion for expanding our platform to mobilize hundreds of millions of people to take deeper civic action.

You will be based out of one of our Europe offices and report to our Head of People Operations. As a key member of our People Team, you’ll own and develop our operational approaches in 6 different countries.

You’re a perfect fit for this role if your superpower is understanding the complexities around HR and legal protocols in multiple countries.

Key Responsibilities

– Lead on the People Operations aspect of supporting our team of about 40 people in 6 countries across Europe.

– Think helping people with employment contracts, payroll, benefits and all the associated questions that go along with supporting staff with their employment and in using all of our HR related tools and systems.

– In addition to supporting staff you will play a key role in helping the organisation navigate being an employer in all of these countries!

– Partner with other Operations teams (IT, Finance, etc) on how we provide a positive and coordinated working environment and employee experience for our staff.

– Provide updates to policy and procedures taking into account local cultural and compliance requirements alongside our global culture and company values.

– Coordinating the work of external vendors in delivering services to our Employees.

– Maintaining the accuracy of our data systems including HRIS, payroll systems document repositories.

Manage and develop processes that deliver our employment experience to staff including:

– Onboarding process and our employee Onboarding program.

– Employment frameworks in each country we operate, helping to understand and deliver compliance and best practice employment.

– Payroll and benefits administration, including proactive and reactive problems solving and supporting staff queries and in accessing benefits.

– Manage time off policies, vacation/PTO, sickness, public holidays and other types of employee time off leave.

– Coordinating the work of external vendors in delivering services to our Employees.

The most important capabilities for the role are:

– Strong written and verbal communication skills, in particular the ability to interpret, distil, and convey information in a compelling manner across a diverse set of audiences, internally and externally. This includes a high level of English language skill for team members located outside primarily English language locations.

– Strong understanding when handling sensitive information, including personal details in line with privacy best practices, including GDPR.

– Strong attention to detail and ability to accurately manage and process data, including a comfort with spreadsheets and databases, overseeing record keeping and the management of information.

– Notable emotional intelligence, in particular ability to establish strong and trusting relationships with a wide diversity of people.

– Strategic thinking, in particular the ability to break complex problems down into component parts. The ability to lead on and enjoy both strategic and tactical work is key.

– Project management skills and the ability to influence and collaborate across all levels of the organization.

Key Experience for this role:

– HR Administration – experience with a broad range of human resources administration covering record keeping, management of contracts and employment documentation, running payroll and supporting the full employee lifecycle.

– Pan European Payroll – a familiarity with payroll systems in one or more countries across Europe will be advantageous in this role.

– Pan European Employment – a familiarity with employment rules and regulations in one or more countries across Europe will be advantageous in this role.
