This role, while 100% remote (we have no physical office space), will ideally be based in Westchester, New York, to support the CEO with business-related errands.

As the Executive Assistant to the CEO, you will enable the CEO to focus on the most important topics, removing distractions and roadblocks. Among other roles, our CEO engages in business development, serves clients, leads team members, and maintains a heavy travel schedule. This person will manage the schedule, travel, and coordination for the CEO as well as proofreading tasks, email management, and social media management. The right candidate will be able to balance the CEO’s workload each week and be highly independent and an excellent multitasker with impeccable attention to detail. The position requires someone with good organization and critical thinking skills. The person in the role must be able to handle highly confidential and sensitive information with the appropriate discretion.

The ideal applicant is proactive, persistent, positive about taking on new tasks and projects, and excels at being mindful of strong communication and details. Key Responsibilities

  • Managing executive calendars, including scheduling of calls, travel, and meetings.
  • Initiating outgoing calls and serving as the first point of contact for all incoming inquiries, directing communication appropriately.
  • Assisting in the preparation of regularly scheduled reports and presentations.
  • Demonstrating composure and flexibility, regardless of competing priorities.
  • Following up repeatedly to ensure critical tasks are completed prior to deadlines; managing the timelines and deliverables of important projects.
  • Overseeing the maintenance of various social media accounts related to the CEO (Twitter, LinkedIn, etc.).
  • Coordinating with staff to handle requests and queries from senior management.
  • Contributing to team effort by proactively seeking out new ways to support the team, maintaining the confidentiality of all company activities and private company information.

Qualifications

  • 5+ years of Executive Assistant experience supporting a C-level executive.
  • Advanced experience with travel arrangements and calendaring.
  • Advanced experience in using email, word processing, spreadsheet, and presentation software, such as Google Sheets, Google Docs, etc.
  • Established excellent written and verbal communication, as well as superior interpersonal skills as proven through effective communication with internal employees and external stakeholders.
  • Proven ability to maintain a professional demeanor and poise under pressure with minimal supervision.
  • Evident extreme attention to detail and a high level of organization.
  • Demonstrated ability to prioritize multiple responsibilities and manage deadlines, often with short notice, in an efficient manner.
  • Proven critical thinking ability and problem-solving skills, as well as being self-motivated and results-driven.
  • Previous experience working and thriving in an innovative and fast-paced environment.
  • Demonstrated innate desire to learn, develop and grow.
  • Ability to proactively direct CEO tasks and responsibilities at a high level with minimal supervision.
  • A great teammate and co-worker who understands how important teamwork is.
