Executive calendar scheduling requires more than finding an open time slot. Strong coordinators weigh meeting purpose, attendee availability, travel needs, preparation time, organizational priorities, and the executive’s working preferences. Consistent decisions reduce avoidable conflicts, protect focused work, and help high-value meetings happen with the right people present.

### Instructions and covered skills

Read each scheduling scenario carefully before choosing a response. Focus on the stated priorities, timing constraints, and attendee requirements. Avoid making assumptions that are not supported by the scenario. Keep notifications muted so calendar details and time-zone information receive your full attention. Select the response that best protects the executive's commitments while supporting the meeting objective. Review your choice before moving forward, especially when a conflict involves travel, buffers, or recurring events.

### Key Areas

This assessment covers the judgment and operating habits needed to maintain a reliable executive calendar. Candidates interpret meeting requests by identifying the purpose, required participants, decision deadline, preferred format, and estimated duration. They evaluate apparent availability alongside hidden constraints such as travel time, preparation blocks, protected focus periods, recurring commitments, and time-zone differences.

Calendar conflict resolution is a central area. Effective coordinators distinguish between commitments that should be preserved, moved, shortened, delegated, or declined. They communicate proposed changes clearly, confirm attendance before releasing a contested slot, and avoid creating duplicate or overlapping invitations. They also understand when a tentative hold is useful and when it should be removed to keep the calendar trustworthy.

The test also addresses recurring-event maintenance, meeting hygiene, and confidentiality. This includes handling exceptions to a series, updating attendee lists after organizational changes, applying accurate location or video details, and limiting sensitive event titles to appropriate audiences. Candidates are expected to protect the executive's time without creating unnecessary friction for internal and external stakeholders.

### Recommended Preparation

Review a representative executive calendar and identify the rules that guide scheduling decisions. Practice comparing meeting requests against priorities, deadlines, attendee availability, and location constraints. Become comfortable converting time zones, calculating realistic travel and preparation buffers, and recognizing when a meeting needs a decision maker, a subject-matter contributor, or only an informational attendee.

Prepare by drafting concise calendar communications for confirmations, rescheduling proposals, declines, and requests for agenda clarification. Review how recurring events behave when a single occurrence changes or when a series must be replaced. Finally, practice checking invitations for accurate times, participants, conferencing links, locations, privacy settings, and ownership before sending updates.

5. Which attendees should be required before scheduling a decision-making meeting?
6. How should a recurring meeting be adjusted after a permanent reporting-line change?
