Read each scenario carefully before selecting a response. Focus on the requested access outcome and the smallest appropriate permission scope. Consider whether the item is stored in My Drive or a Shared drive before deciding. Do not let notifications, messages, or other browser tabs interrupt your concentration. Review the wording of each option for role, audience, and access duration. Select the response that best protects information while allowing the stated work to proceed.

This assessment covers the decisions virtual assistants make when organizing and sharing work in Google Workspace. Candidates should understand the distinction between My Drive and Shared drives, including how ownership, continuity, and access are managed in each location. They should be able to select suitable Shared drive roles, such as Viewer, Commenter, Contributor, Content manager, and Manager, based on a person’s required responsibilities.

It also evaluates permission scope. This includes deciding whether access belongs at the file, folder, Shared drive, Google Group, or organization level. Candidates should recognize the value of granting the narrowest access that supports the task and of using view, comment, or edit permissions appropriately. Scenarios address external collaborators, link-sharing settings, access expiration, restricted files, and the review of existing access before sensitive material is shared.

File organization knowledge is also important. Candidates should know when to move a file, use a shortcut, maintain a single source of truth, and avoid unnecessary copies that create version confusion. They should understand how membership changes affect team access and why offboarding actions must include removing accounts, reviewing groups, and checking shared resources.

### Recommended Preparation

Review the Google Workspace sharing dialog and practice identifying the access settings available for individual files and folders. Explore a Shared drive in a test environment and compare its member roles with file-level roles. Practice creating folders, adding members, assigning a Google Group, changing link access, and locating the access-management panel.

Study common collaboration situations: a client needs review-only access, a contractor needs temporary editing rights, a department needs ongoing access through a group, or a former team member must be removed promptly. Pay attention to the difference between sharing a link and inviting named accounts. Become familiar with file shortcuts, file movement, and the implications of storing team-owned work in a Shared drive. Finally, review your organization’s policies for external sharing, sensitive information, and retention so access decisions align with approved procedures.
