We are seeking a skilled and proactive Payroll and Equity Manager to own the payroll, bonuses, commissions, and equity processes at Luxury Presence. As the sole person dedicated to payroll and equity, this person will be integral in driving efficiency, accuracy, and compliance across all compensation processes. This role will report to the Controller and partner closely with HR, Finance, and Legal to ensure that all employees are paid accurately and on time, and that equity programs are managed effectively.
Responsibilities:
Payroll Management- Execute semi-monthly payroll cycles accurately, ensuring compliance with federal, state, and local laws.
- Process payroll changes including new hires, terminations, salary changes, bonuses, and other compensation adjustments.
- Review and reconcile payroll entries with finance to ensure alignment with accounting records.
- Manage relationships with external payroll providers, troubleshoot issues, and drive continuous improvements.
- Manage semi-monthly and monthly payments to offshore contractors.
- Administer equity plans, including review of stock option grants, managing vesting schedules, and processing exercises.
- Partner with external providers (e.g., external legal counsel and Carta) to maintain accurate records and reports of employee equity holdings.
- Collaborate with department heads and managers to verify accurate calculations and ensure timely disbursement of bonuses and commissions.
- Maintain compliance with established commission structures, processing payments in alignment with company policies and guidelines.
- Identify and implement improvements to payroll, bonuses, commissions, and equity processes, including system automation and integration with HR and Finance platforms.
- Act as the point person for payroll-related systems and data, working closely with HR to enhance the employee experience.
- Serve as a key stakeholder in any future HRIS/HCM implementations, ensuring payroll and equity needs are integrated seamlessly.
- Stay current with payroll regulations, tax obligations, and equity compliance requirements to maintain full legal compliance.
- Prepare periodic reports and analyses of payroll, bonus, commissions, and equity data for senior management.
- Oversee year-end activities such as W-2 distribution, annual reporting, and audit support as required.
Requirements:
- Bachelor’s degree in Accounting, Finance, or a related field, or equivalent experience.
- 5+ years of experience in payroll administration, with exposure to equity management.
- Proficiency with payroll systems (e.g., Gusto) and equity management software (e.g., Carta).
- Strong knowledge of payroll laws and equity compliance.
- Analytical skills, with experience in creating and managing payroll and equity reports.
- Proficiency in Microsoft Excel, including experience with formulas, pivot tables, VLOOKUP, and data analysis to support payroll, bonus, and equity reporting needs.
- Exceptional attention to detail, with a proactive and collaborative mindset.
- Friendly, approachable, and empathetic demeanor, with strong interpersonal skills to build trust with employees. As the go-to person for payroll, this individual must respond promptly, professionally, and compassionately to employee inquiries, especially when resolving sensitive payroll issues.
- Demonstrated strong ethical standards and integrity, with a commitment to handling sensitive payroll and employee information confidentially and responsibly.
- Experience implementing an HRIS/HCM platform is a plus.
- Certified Payroll Professional (CPP) or similar certification is a plus.
