Why does this role exist?
This role exists to strengthen end-to-end HR operations and ensure compliance across a growing, multi-location organization that serves vulnerable communities. The HR Manager will lead lifecycle documentation, performance management, recruitment support, and policy alignment—working closely with leadership and external HR consultants to manage risk and uphold best practices. The position also supports international staff development, including SHRM preparation, to maintain a high-performing, compliant workforce.
The Impact you’ll make
Employee Lifecycle and Documentation- Own employee records, contracts, onboarding, offboarding/terminations, and performance documentation
- Maintain accurate file management and version control in the HRIS and shared systems
- Safeguard confidentiality and handle sensitive information with discretion
- Coordinate, track, and document Performance Improvement Plans (PIPs) aligned with company policy and consultant guidance
- Monitor employee relations issues, document incidents, and escalate appropriately
- Partner with leadership and HR consultants on escalations, corrective actions, and resolutions
- Post roles, screen candidates, and schedule interviews in coordination with hiring managers
- Ensure consistent candidate communication and maintain structured pipelines
- Track hiring progress and support smooth transitions from offer through onboarding
- Ensure compliance with U.S. employment laws and internal policies across states (with attention to CA and WA)
- Standardize HR procedures and maintain audit-ready documentation in HRIS
- Liaise with external HR consultants (e.g., Bambee) to implement compliant practices
- Track staff training, licenses/certifications, and continuing education requirements
- Coordinate SHRM prep and professional development support for international staff
- Report on training completion rates and follow up on required renewals
Skills, Knowledge and Expertise
Required:- Proven experience as an HR Manager or HR Assistant role
- Expert-level proficiency with Microsoft Teams, RingCentral, and HRIS platforms
- Expert knowledge of U.S. HR practices, including PIPs, compliance, and employee relations
- Excellent written and verbal English communication; proven ability to work with international staff
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
- Technical: HRIS administration; advanced Microsoft Teams and RingCentral usage; structured documentation and file governance; recruitment coordination; compliance tracking and reporting
- HR expertise: PIP design and administration; employee relations case handling; U.S. employment law fundamentals; policy interpretation
- Collaboration: Confident working with leadership and external HR consultants (e.g., Bambee) on escalations and policy alignment
- Domain familiarity: Awareness of U.S. state-specific HR nuances, especially California and Washington
- Soft skills: High discretion and confidentiality, detail-obsession, organization and prioritization, proactive communication, calm under pressure, culturally sensitive and globally aware

Work Setup:

- Monday to Friday, 9:00 am – 5:00 pm Pacific Time
- 40 hours per week
- $7 per hour
