Reporting to the Manager, Payroll, the Payroll Specialist is a critical position within the organization, serving a workforce of over 1,200 employees. This position is responsible for processing and reviewing semi-monthly and bi-weekly payrolls for our Canadian employees, and for ensuring compliance with company and legislative requirements.
The Payroll Specialist provides subject matter expertise regarding all payroll processes and procedures. This position focuses on the administration of payroll processes, and procedures, as well as providing assistance to other departments. The position serves as a point of contact for employee questions and concerns with respect to Payroll issues. The position requires that the employee possess a strong, full cycle payroll experience with Ceridian Dayforce and Excel, and can multitask and work independently. Integrity, strong attention to detail and time management are crucial for this role.

Key Responsibilities:

  • Process and prepare full-cycle payrolls and all related activities for Canada, in accordance with company and regulatory requirements.
  • Process irregular payments including annual bonus, top up, salary continuance, commissions, bonuses, termination payments, and timesheet entries for overtime and on-call.
  • Audit employee timecards for accuracy and completeness in the time and attendance system.
  • Monitor system payroll tax calculations for special payments.
  • Process new hires, terminations, salary adjustments, leaves and employee changes in accordance with company and regulatory requirements.
  • Responsible for statutory reporting, ROEs, garnishments, and employment verification requests as required.
  • Assist with employee benefits and administration as needed, ensuring premiums are updated in employee records and reconciled to benefit provider’s portal, and prepare contributions files for RRSP upload.
  • Responsible for payroll tax reconciliations.
  • Assist with preparation and reconciliation of year-end filings including T4s, T2200, annual EHT filing and taxable benefits.
  • Support internal and external audits, including government and third-party external payroll audit requirements.
  • Maintain and update payroll documentation for all workflow and system procedures necessary to support the Canadian payroll processes.
  • Assist with future system implementation and enhancements.
  • Respond to employee inquiries and concerns in a timely manner.
  • Provide feedback and suggestions on process improvements and procedures to enhance efficiency and continuous improvement.

Required Experience:

  • Post-secondary education or equivalent business experience.
  • Completed Payroll Compliance Professional (PCP) certification preferred.
  • Minimum of 3 years of related experience in administering full cycle payroll.
  • Minimum of 1 year recent Ceridian Dayforce experience.
  • Understanding of payroll practices and Canadian legislation.
  • Intermediate Excel skills.
  • Highly organized and detail-oriented with the ability to set priorities and meet tight deadlines.
  • Service-oriented with strong communication skills, both verbally and written.
  • Ability to work well independently, as well as in a team.
  • Must be able to handle confidential information in an ethical and professional manner.
  • Open to learn US payroll.
