Job Summary
Blavity Inc. is looking for a full-time Administrative Assistant to support the Executive Team. The ideal individual will be an expert in scheduling, information management and logistics.
This is a great opportunity for a person that is extremely organized and detail-oriented who wants to learn more about business operations, management and is looking to grow into a senior administrative or business operations position.
This role will report directly to the Chief of Staff, in service of the CEO and Senior Executives as needed.
Responsibilities
- Manage a heavy calendar; schedule and confirm appointments in a strategic manner, considering the CEO’s schedule several weeks out to ensure they are well prepared for what is ahead and that the calendar is set to optimize CEO time and priorities
- Arrange complex and detailed travel plans, itineraries, and agendas, including arranging point-to-point transportation
- Oversee the administrative success of all meetings CEO is involved in from preparation, in-meeting detailed notes, dissemination of concise actions, notes and summary to tracking completion of all meeting outcomes
- Maintain detailed weekly executive project and task tracker
- Draft correspondence, agenda items, reports, presentations, and other documents often of a highly sensitive and confidential nature
- Support Chief of Staff in coordination all CEO-hosted events, leadership retreats, executive team meetings and events in collaboration with the People Operations teams
- Maintain discretion and confidentiality in all business and personal matters
Qualifications
- Education: BA
- Required Experience:
- 3+ years as an Executive Assistant, ideally with experience at a high-growth stage company
- Technologies:
- Must be proficient in Google WorkSpace (Calendar, docs, sheets and slides)
- Must be comfortable working with mostly online communication via slack, texts and email
- Additional Qualifications:
- Extraordinarily organized with high attention to detail
- Demonstrated written communication and verbal presentation skills, with an ability to synthesize and express concepts efficiently and effectively to a wide range of audiences
- Demonstrated experience working with all levels of executives, internally and externally
- A healthy appreciation of GIFs and Black culture
Details
- This is a fully remote role, based in Nashville, TN; 20% travel will be required.
- Candidates must be authorized to work in the U.S.
- Candidates must be available to work in alignment with the Central Time Zone.
- The salary range for this role is $60,000 – $90,000.
