The Sales and Executive Assistant provides sales, operational, and clerical assistance to the company President. In this role, you will execute on various tasks and projects. Responsibilities will include preparing our team for sales meetings, preparing us for conferences, organizing and processing call notes, suggesting next steps to take after reading through call notes, tracking and completing action items related to sales activities, managing and executing discrete sales, marketing, and community-oriented projects, and providing other sales and clerical support related to the scope of the President’s duties.

This is a contract position paying $30-40 per hour. Your average weekly commitment is expected to be 20 hours a week, though the weekly commitment is not fixed, and in some weeks may be less and some more subject to your availability and to available workload.

This position is fully remote within the United States and its Territories – we are fully remote and have no offices – though preference will be given to those who reside in or near either the Baltimore or DC metro areas and are able to meet in person with Yair (company President) every month or so.

Your success will be measured by (1) the accuracy and fidelity of your work; and (2) your ability to independently execute on projects and tasks.

Responsibilities

  1. Prepare our team for sales meetings by researching a prospective client and compiling a succinct brief that includes interesting information about a prospective client, its company leadership, the person(s) with whom we’ll be speaking, the prospect’s industry, and anything else you think will be helpful.
  2. Prepare our team for conferences we attend by preparing a conference dossier: who’s attending the conference, who do we already know attending (people and companies), tell us ~3 people we need to meet, what parties are being held and where, how are people communicating (is there a slack workspace for the conference? Whatsapp group? Something else?), etc.
  3. Organize and process sales and call notes, storing them in our google drive hierarchy. Extract action items and suggest next steps as we seek to grow sales.
  4. Reach out to, and follow up with, active sales opportunities or other people on the company’s agenda. Do not wait to be told to follow up with people; suggest follow up tasks and when approved execute on them independently. Initiate contact, both on Yair’s behalf or at the behest of others on the team, when requested.
  5. Compile lists and organize our CRM. Our ability to leverage CRM to increase sales is in no small measure dependent on the quality of the data in our CRM. Likewise, our ability to have focused sales outreach campaigns that are successful depends on the thoughtful and accurate creation of lists.
  6. Execute various administrative, back office, and HR tasks, to include managing our weekly and monthly invoicing processes, communicating with our bookkeepers, handling occasional HR tasks related to employee onboarding/offboarding, liaising with our medical insurance brokers, and executing other administrative tasks.
  7. Manage and execute other focused sales, marketing, and community-oriented projects, which will vary in scope and will typically include third party companies and individuals.

You are free to select your working hours, which can vary week to week, but you will be expected to hold one planning meeting with Yair each week, to occur on the same day/time. You’ll additionally be expected to meet one or two times a week with Yair and others on the team depending on the workload and the nature of the work being performed in a given week. Additionally, it is expected that ~50% of your working hours will overlap with 8-5 M-F Eastern Time so that you can easily collaborate with Yair and others on the team.

Requirements

  1. Project manager: you’ll have exemplary organizational skills, in particular with modern digital systems (project management tools, google drive, email). You’ll be able to manage all manner of projects and tasks.
  2. Researcher: you’ll have prior experience leveraging the internet, new / other publications, and the various tools available to perform research on companies, people, industries.
  3. Process-minded: we build capacity by designing processes, testing those processes, tuning those processes, ensuring they work, and then moving onto bigger and better things. You’ll be expected to keep documentation on the processes you perform for those who may perform your job function in the future, and to ensure that our work is always done with fidelity and accuracy.
  4. Independent self-starter: you’ll be given latitude in how and when you perform your work, and you will additionally be expected to require minimal supervision so that you can operate independently.
  5. English language: since you will be representing the company and Yair personally, you’ll be expected to have impeccable command of the English language (i.e. use of proper grammar and no typos).
