What I actually do is manage inboxes, sort through what needs attention versus what can wait, keep calendars organized, and make sure customers get quick, real answers instead of being left hanging.
Here’s an example of how I actually work: I once took over someone’s entire calendar and task system. It was a mess before I stepped in, appointments getting missed, no clear way to track what needed to happen next. I put together a simple setup using Google Calendar, Calendly, and Trello and Asana together. Calendly let people book time directly with her instead of endless back-and-forth emails. Google Calendar gave her a clear view of the day. Trello and Asana turned everything into actual tasks with deadlines, not just vague reminders floating around. I checked all three every single day to make sure nothing slipped through. By the time I was done managing it, she hadn’t missed a single meeting the whole time. That’s not luck, that’s just me being consistent and paying attention to the small things that add up.
I’ve also spent a good amount of time in customer support, using tools like Zendesk and Freshdesk to handle emails and live chat. I don’t believe in just closing a ticket to get it off my plate. If I notice the same complaint or question keeps coming up from different people, I flag it, because fixing the actual problem matters more than answering the same thing over and over.
I’m comfortable juggling more than one priority at a time. In one role, I wasn’t just supporting one person, I was also coordinating with someone else on the team at the same time, each with their own needs and way of working. I had to stay organized enough to know what each person needed without mixing things up.
I work with Google Workspace, HubSpot, Zapier, Slack, Zoom, Calendly, and Canva, and I pick up new tools fast, so there’s very little ramp-up time needed if you’re already using something different.
