Cover letter sample

Dear Hiring Manager,

I am writing to express my strong interest in the Trade Compliance Specialist (Europe) role at Nivoda. With extensive experience in global trade compliance, customs operations, and broker management, I have developed a track record of ensuring compliant and duty-efficient cross-border shipments. My hands-on expertise in HTS classification, country-of-origin determination, and duty drawback filing aligns perfectly with the execution-focused responsibilities of this position.

I thrive in fast-paced, scaling environments and am comfortable building processes from the ground up as an individual contributor. I have successfully managed customs broker relationships at volume, monitored landed costs, and identified duty-saving opportunities through free trade agreements. I am excited about the opportunity to bring my skills to a company transforming the diamond industry and would love to contribute to your global expansion.

Thank you for considering my application. I look forward to discussing how I can add value to the Nivoda team.

Sincerely,
[Your Name]

Sample interview questions
Can you describe your experience with HTS classification and country-of-origin determination for complex products like jewellery?

I have over 5 years of experience applying HTS codes and country-of-origin rules for various products, including jewellery. In my previous role, I worked closely with legal and compliance teams to ensure accurate classification, often handling ambiguous cases by researching rulings and using GRI principles. For jewellery specifically, I understand the distinction between tariff treatment of precious metals and gemstones, and I have experience with the additional documentation required for import/export.

How would you approach building a duty drawback program from scratch, and what are the key risks to watch out for?

Building a duty drawback program involves first understanding the specific regulations, such as those under 19 CFR Part 191. I would start by mapping the import and export transactions to identify eligible claims, then ensuring accurate documentation is retained. Key risks include missed deadlines, incomplete records, and non-compliance with the 'same condition' or 'substitution' rules. I would establish a robust tracking system and work closely with brokers to validate claims before submission.

Can you give an example of a time you identified a duty-saving opportunity using a free trade agreement?

In a previous role, I identified that our imports from India into the UK could benefit under the India-UK FTA for certain jewellery components. I worked with our suppliers to amend their export documentation and certificates of origin, resulting in a 15% reduction in landed costs on that lane. I also ensured our internal classification database was updated to reflect the preferential treatment, and conducted training for the procurement team to maintain compliance.

How do you manage relationships with customs brokers to ensure they align with your company's classification framework?

I believe in clear communication and regular performance reviews. I would establish a service level agreement with each broker that outlines expected processes, response times, and alignment with our classification decisions. I would schedule quarterly business reviews to evaluate key metrics like clearance delays and error rates. Additionally, I would maintain a shared repository of approved classifications and provide guidance when brokers flag discrepancies.

This role requires high autonomy and process-building. How would you prioritize and structure your work in the first 90 days?

In the first 30 days, I would focus on understanding Nivoda's current shipment flows, broker relationships, and existing documentation practices. I would also meet with Legal & Compliance to review the classification framework and any outstanding issues. For days 30-60, I would implement structured processes for documentation storage and create a tracking mechanism for duty payments and drawback claims. By day 90, I would have established standard operating procedures, trained relevant staff, and started executing on duty-saving opportunities, while ensuring routine compliance is maintained.

About Nivoda 🚀

Nivoda is a rapidly scaling global B2B diamond and gemstone marketplace connecting jewellery retailers with competitive, high-quality suppliers worldwide. Processing $300M+ in annual transactions and operating across multiple regions, Nivoda is transforming a $350B industry that has historically been slow to modernise.

Our Mission 🎯

Nivoda started with a simple observation: buying and selling diamonds was slow, opaque, and inefficient, no matter how big or small your business was. Our platform fixes this by giving every jewellery business, wherever they are in the world, the same access to inventory, financing, and logistics as the biggest players in the industry.

About the Role 🤔

As we expand into jewellery and new markets, the complexity of moving products across borders has grown fast. Loose diamonds have historically had simple customs treatment in most jurisdictions; jewellery is a different story, with its own tariff regimes and duty rules. This is a new, dedicated role that will sit within fulfilment, close to the shipments and the broker relationships where trade compliance actually gets executed day to day preparing documentation, applying classifications, managing broker performance, and owning our duty drawback program end to end. Legal & Compliance own the policy layer: the classification framework, country-of-origin rules, and regulatory interpretation. You’ll partner with them constantly and escalate anything genuinely unclear, but this role owns execution.

It’s an individual contributor role with high ownership; there’s no capability like this at Nivoda today, so you’ll be building the operating rhythm as you go, not inheriting one.

What will you be doing? 😎

  • Prepare all shipment documentation and commercial invoices, and ensure accurate, complete documentation is retrieved from brokers and carriers and stored centrally on our platform

  • Apply the HTS classifications and country-of-origin determinations that Legal & Compliance have approved, consistently across our shipment processes and systems in partnership with product

  • Manage day-to-day customs broker relationships, coordinating clearance, reviewing broker performance, and ensuring broker practices stay aligned with our classification framework

  • Monitor duties as part of landed shipping costs, catch unexpected duty outcomes, and file claims with customs brokers when errors are found

  • Resolve routine customs queries during clearance, and ensure declarations for import and export are applied accurately

  • Own the duty drawback program day to day, acting as the internal point of contact with Livingstone, and preparing and validating claims before submission

  • Monitor the US import bond and keep it compliant, since this underpins business continuity for our largest lane

  • Partnering with our manufacturers (starting with India) to ensure their export documentation and processes support compliant, duty-efficient shipping

  • Identifying and acting on duty-saving opportunities through relevant free trade agreements (e.g. India-UK, EU-UK, EU-India, UAE-India)

  • Building out trade compliance processes as our jewellery business scales into new duty-liable markets, and escalating complex classification or legal interpretation questions to Legal & Compliance

What do we need from you? 💪

  • Proven experience in global trade compliance or customs operations, with a track record on US, UK, EU import/export specifically

  • Direct experience managing customs broker relationships and shipment documentation at volume

  • Experience filing duty drawback or tariff reclaim claims

  • Comfortable working as an individual contributor with real autonomy

  • Detail-oriented and process-minded: you’ll be establishing how this works at Nivoda, not just following an existing playbook

  • Based in the EU or UK, with the flexibility to work across time zones as we scale globally

  • Strong stakeholder management skills, coordinating external brokers/carriers/manufacturers and internal Legal, Fulfilment, and Ops teams

  • A commercial mindset, you connect compliance work back to cost savings and business impact

Nice to have ✨

  • Experience with free trade agreements and preferential duty schemes (e.g. India–UK, EU–UK, EU–India, UAE–India)

  • Experience in jewellery, diamonds, gemstones, or other high-value/luxury goods logistics

  • Experience with Indian export processes

  • Background in a fast-scaling, international e-commerce or marketplace business

We work to create a culture of empowerment, continuous learning, and growth where everyone can bring their expertise, own projects, and easily measure their impact.
