Cordance is seeking a Business Systems Analyst to own and improve HubSpot CRM and marketing operations for its B2B SaaS business units. The role translates stakeholder needs into requirements, user stories, tickets, scalable workflows, and documented operating standards. The analyst will independently triage requests, assess downstream data impacts, and partner with senior business and functional leaders. Sample interview questions
I would first clarify the business outcome, users affected, and current reporting dependencies. I would map how lifecycle stages feed workflows, lead-routing rules, integrations, dashboards, and downstream systems; document risks and a proposed future-state definition; then test the change in a controlled environment before communicating rollout steps and monitoring results.
I start by asking what decision, process, or customer outcome the stakeholder is trying to improve. I document the current state, desired state, scope, acceptance criteria, required data, dependencies, priority, owner, and measurable success criteria. If a request is not ready for implementation, I return it with targeted questions and options rather than forwarding an unclear task.
I would establish common data definitions, required-field rules, naming conventions, duplicate-management procedures, lifecycle governance, and routine audits. I would use validation and automation where appropriate, monitor exception reports, assign data ownership, and document standards so that quality does not depend on individual administrators.
I would assess each request using business impact, urgency, customer or revenue risk, compliance and data-integrity implications, dependencies, effort, and availability of a workaround. I would make prioritization transparent, confirm tradeoffs with stakeholders, address critical production issues first, and maintain a visible backlog for planned work.
I would reproduce and define the issue, trace the relevant records and field mappings, review integration logs and recent configuration changes, and identify the source of truth for each data element. I would then isolate whether the problem is data, workflow logic, permissions, mapping, or platform behavior, engage the appropriate technical owner when needed, and document both the resolution and preventive controls.

Position Overview
The Systems & Operations team manages the platforms behind Cordance’s go-to-market and back-office operations across our business units. We are seeking a Business Systems Analyst who can do more than administer a single tool. This person will understand how data moves across our systems, anticipate the downstream impact of changes, and translate business needs into clear, actionable requirements.
You will begin with ownership of our CRM and marketing technology stack, supporting the systems and processes used by Marketing and Sales Development. Over time, the role will expand into broader business systems ownership and cross-functional initiatives across Cordance.
Key Responsibilities
- Own the day-to-day administration of HubSpot across CRM and marketing, including campaigns, lists, workflows, lifecycle stages, data management, and new configurations.
- Support Marketing and Sales Development teams by translating business needs into scalable system solutions and reliable processes.
- Build and maintain a strong understanding of how data moves across Cordance’s systems, including CRM, quote-to-cash, ERP, and the data platform.
- Assess the downstream impact of proposed changes and proactively identify dependencies, risks, or data-quality concerns across connected systems.
- Partner with internal stakeholders, including business-unit presidents, general managers, and functional leaders, to gather requirements and translate them into clear documentation, user stories, and actionable tickets.
- Triage and scope incoming requests, resolve issues within the role’s ownership, and route execution work to the appropriate global administration resources.
- Clarify incomplete requests and help stakeholders define the desired business outcome, requirements, and priority before work begins.
- Support system integrations and the onboarding of new business units where initiatives touch the CRM or marketing technology stack.
- Develop and maintain system documentation, operating standards, and SOPs to improve consistency, scalability, and shared knowledge.
- Identify opportunities to improve system adoption, data integrity, workflow efficiency, and the overall user experience.

Required Qualifications
- 3 or more years of experience in business systems, CRM administration, revenue systems, or a related role.
- Strong hands-on HubSpot administration experience across both CRM and Marketing Hub.
- Demonstrated ability to work across multiple systems and reason through data flows, integrations, dependencies, and downstream impacts.
- Experience gathering requirements and translating business needs into clear documentation, user stories, or technical tickets.
- Strong written and verbal English communication skills, with confidence working directly with internal stakeholders and business-unit leaders.
- Ability to work US business hours in a remote environment.
- Experience in a multi-entity, acquisitive, private-equity-backed, or B2B SaaS environment.
- Working knowledge of marketing operations concepts, including lists, workflows, lead lifecycle management, and data hygiene.
- Exposure to Salesforce, NetSuite, an integration platform such as Workato, data hygiene tools such as Insycle, or reporting tools such as Lightdash is preferred.
