Sample interview questions
I have administered grants, vesting events, releases, employee changes, terminations, tax withholding, and reporting. I use documented checklists, system reconciliations, and payroll validation controls to ensure each event is accurate, timely, and auditable.
I begin by validating enrollment and contribution data, coordinating required payroll deductions, confirming purchase inputs and dates, and reconciling results with the equity platform and Finance. After the purchase, I resolve exceptions promptly and provide clear employee communications on shares, tax considerations, and key deadlines.
I would identify the affected population and transaction dates, compare source data across systems, and trace variances to the underlying grant, vesting, payroll, or accounting event. I would document the root cause, coordinate corrections with the relevant owners, and implement a preventive control if the issue indicates a process gap.
I explain the program mechanics, transaction timing, withholding process, and available company resources in plain language. I make clear that individual tax outcomes vary and direct employees to qualified personal tax advisers for advice specific to their circumstances.
I would prioritize standardized lifecycle procedures, automated reconciliations, clear ownership across Equity and Payroll, documented controls, and employee self-service communications. These changes reduce manual errors, improve audit readiness, and create a more consistent employee experience across countries.

Coordinate RSU releases, tax withholding, and reporting with Payroll and our equity platform provider across multiple countries.
Administer our ESPP, including enrollment, contributions, purchase cycles, reconciliations, and employee communications.
Maintain accurate equity records, perform reconciliations, and resolve discrepancies across equity, payroll, HR, and financial systems.
Support month-end and quarter-end close, financial reporting, audits, SOX controls, and other compliance requirements.
Partner with Payroll, Legal, People, Finance, and external advisors on global equity, tax, reporting, and regulatory matters.
Serve as a trusted resource for employees, clearly explaining equity programs, transactions, taxes, and key deadlines.
Improve and scale equity processes through automation, stronger controls, documentation, and streamlined workflows.
You’ll be a great addition to the team if you:
Hold a Certified Equity Professional (CEP) designation or are actively working toward certification.
Take ownership, work independently, and reliably manage multiple time-sensitive deadlines.
Have strong attention to detail and enjoy investigating discrepancies and solving problems.
Bring a strong controls mindset and understand the importance of accuracy, documentation, and data integrity.
Can translate complex equity concepts into clear, practical explanations for employees.
Look for opportunities to simplify and automate processes rather than simply maintaining the status quo.
Care about delivering a great employee experience while maintaining appropriate controls, compliance, and confidentiality.
At a minimum, you need to have:
5–7 years of equity administration experience, including hands-on experience supporting a publicly traded company.
Hands-on experience administering RSUs and ESPP, including releases, purchase cycles, employee changes, and terminations.
Experience coordinating equity-related tax withholding and payroll reporting.
Experience supporting global equity programs across multiple countries.
Experience with Fidelity’s equity administration platform or a comparable public-company equity administration system.
Strong Excel and analytical skills, including working with large datasets and performing reconciliations.
Strong written and verbal communication skills and the ability to handle sensitive employee and compensation information with discretion.
Ability to work consistently during Pacific business hours and collaborate effectively with teams based in the San Francisco Bay Area.
