Key Skills

HubSpot CRM Administration Revenue Operations Sales Technology Data Governance Process Design Automation AI Integration Gong Clay

I am excited to apply for the GTM Systems Manager position at Spellbook. With over 5 years of experience in revenue operations and a deep expertise in HubSpot, I have successfully architected and optimized sales and customer success tech stacks at high-growth B2B SaaS companies. I am particularly drawn to Spellbook’s mission to revolutionize legal workflows with AI and believe my skills in system integration, process design, and automation can significantly contribute to your team.

In my previous role, I led the implementation of a unified CRM ecosystem that improved lead-to-opportunity conversion by 20% through automated workflows and data governance. I am experienced in evaluating and integrating tools like Gong and Clay to create seamless data flows and drive actionable insights. I thrive in fast-paced environments and am adept at prioritizing projects that deliver the highest business impact.

I look forward to the opportunity to bring my technical and strategic expertise to Spellbook and help scale your GTM operations. Thank you for considering my application.

Can you describe a time when you had to architect a CRM system from scratch? What were the key considerations and challenges?
In my previous role, I architected a HubSpot environment for a growing B2B SaaS company with multiple sales teams. I focused on aligning the data model (objects, properties, and pipelines) with the sales process, ensuring clean data flow through integrations with our ABM platform and conversation intelligence tool. Key challenges included data migration from a legacy system and gaining buy-in from stakeholders on naming conventions. I overcame these by creating a detailed data governance policy and conducting training sessions.
How do you prioritize which integrations and automations to build first?
I prioritize based on business impact and alignment with strategic goals. I start by mapping the end-to-end revenue process and identifying bottlenecks or manual tasks that cause delays or errors. For example, if lead routing is manual, I prioritize automation there. I also consider the cost and effort of implementation, and I use a RICE framework (Reach, Impact, Confidence, Effort) to score opportunities and build a roadmap that balances quick wins with larger initiatives.
How would you approach evaluating a new tool like Unify or Clay for our stack?
First, I would clearly define the business problem we are trying to solve and the desired outcomes. Then I would evaluate the tool against criteria such as integration capabilities with HubSpot, ease of use, scalability, and cost. I would also request a trial with a specific use case and involve key users from Sales and CS to test. After implementation, I would measure adoption and impact on key metrics like data completeness or response time.
Tell me about a time you drove change management to get a team to adopt a new system or process.
At a previous company, we introduced a new sales engagement platform. I worked with the enablement team to create a training program with hands-on workshops and bite-sized videos. I also set up office hours for questions. To measure adoption, I tracked login frequency and activity metrics, and I celebrated early adopters. When I saw low usage, I conducted root cause analysis and simplified workflows accordingly. Within two months, adoption exceeded 80%.
How do you stay current with developments in the revenue tech stack and AI automation?
I subscribe to industry newsletters like Revenue.Ops and follow thought leaders on LinkedIn. I also participate in webinars from HubSpot and other vendors, and I have joined a Slack community for RevOps professionals. Recently, I have been experimenting with AI tools like ChatGPT to generate enrichment code snippets and automate reporting. I also attend virtual conferences to learn about emerging trends.

Spellbook is the most comprehensive AI copilot for transactional lawyers. It works directly inside Microsoft Word to help legal teams draft, review, and negotiate contracts up to 10x faster and with greater precision. We are backed by leading investors including Khosla Ventures, Thomson Reuters Ventures, Inovia Capital, The LegalTech Fund, Bling Capital, and Moxxie Ventures. The company recently raised $50 million in Series B funding, led by Keith Rabois at Khosla Ventures, bringing its total funding to more than $80 million.

ABOUT THE ROLE

As GTM Systems Manager, you will own the architecture, integration, and optimization of our Sales and CS technology stack. This is a role at the intersection of systems design, revenue operations, and process implementation. You will be the primary owner of our core tools, including HubSpot as our system of record, along with Unify, Gong, Clay, and adjacent tools.

You will own the systems roadmap and serve as a thought partner to Sales, CS, and RevOps on how the platform foundation can drive efficiency and revenue outcomes. You will design the workflows and automation that scale with us, and ruthlessly prioritize the work that moves the business forward.

RESPONSIBILITIES

GTM Tech Stack Ownership

  • Own the architecture and day-to-day operation of the Sales and CS tech stack, with HubSpot as the system of record

  • Evaluate, implement, and integrate adjacent tools (Unify, Gong, Clay, and others) to create a cohesive, high-leverage revenue infrastructure

  • Lead system integrations and ensure clean, reliable data flows across the stack via native connectors, middleware, and API-based integrations

  • Make build, buy, or kill decisions on tools. Consolidate where possible, eliminate redundancy

  • Maintain a documented system architecture so the stack remains legible and scalable as the team grows

HubSpot Administration

  • Serve as the primary HubSpot admin: users, teams, permissions, properties, pipelines, and lifecycle stages

  • Build and maintain workflows, automations, and reporting that power day-to-day Sales and CS operations

  • Establish and enforce data governance: property naming conventions, picklist hygiene, deduplication, and record lifecycle policies

Business Process Design

  • Partner with Sales and CS leaders to document and continuously improve the core GTM business processes, including lead-to-opportunity, opportunity-to-close, customer onboarding, renewal, and expansion

  • Identify friction points in the revenue motion before they become bottlenecks. Propose and ship solutions

  • Build the operational foundation for new GTM motions (outbound plays, ABM programs, PLG signals, etc.) as the company evolves

AI & Automation

  • Identify opportunities to apply AI and automation to repetitive GTM workflows like enrichment, routing, follow-up, and reporting

  • Stay current with developments across the modern revenue stack and bring a point of view on where we should be investing

Enablement & Adoption

  • Partner with Enablement to ensure reps actually use the systems you build

  • Document workflows, build training materials, and run change management for new processes and tools

  • Measure adoption and iterate. A system no one uses is a system that doesn’t exist

  • Act as the internal subject matter expert and escalation point for systems and process questions

  • Support with other responsibilities and projects as required

QUALIFICATIONS

  • 5+ years of experience in revenue operations, GTM systems, or sales operations in a B2B SaaS environment

  • Hands-on CRM expertise. You’ve architected a CRM from the ground up, not just used it. HubSpot experience and certifications are a plus.

  • Strong understanding of how CRM integrates across the modern revenue stack, from prospecting and enrichment through conversation intelligence and CS tooling

  • Proven ability to translate business requirements into scalable systems and process solutions

  • Comfortable in an ambiguous, fast-paced environment. We’re growing quickly, and things change every day

  • Ability to manage multiple projects simultaneously, establishing new processes while streamlining existing ones

  • Strategic thinker who is also execution-oriented. Comfortable operating at altitude and in the weeds in the same week

  • Bias for action and strong opinions held loosely. You bring a point of view to every conversation

  • Excellent communication and stakeholder management skills. Comfortable working cross-functionally with Sales, CS, Marketing, and Finance

  • Strong documentation habits and attention to detail

  • Curiosity about AI tools and how they can streamline revenue workflows

NICE TO HAVES

  • Deep understanding of unit economics. You think like a business owner and can think in terms of CAC, LTV, payback, gross margins

  • Experience with consumption-based pricing models and GTM infrastructure that supports these models

WHY JOIN SPELLBOOK?

  • Embrace autonomy and accountability in a flexible work environment; we focus on outcomes and empower you to determine how to get the job done

  • Access our company-paid group benefits for you and your family, with $1,000 towards mental health support

  • Disconnect during our holiday closure and take advantage of our generous time off policies throughout the year

  • Enjoy monthly paid meals, an annual wellness allowance to support your well-being and parental leave top-ups as your family grows

  • Secure your stake in our success; you’ll receive competitive stock option grants as a pivotal early employee
