Key Skills

Payment Operations Loan Operations Data Reconciliation Excel CRM EdTech Process Improvement Billing Documentation Problem Solving

Dear Hiring Manager,

I am excited to apply for the Payment Operations Specialist position at TripleTen. With over two years of experience in operational roles within technology-driven environments, I have developed strong skills in payment processing, data reconciliation, and cross-functional coordination. My advanced Excel proficiency and attention to detail have enabled me to maintain accurate records and resolve issues efficiently.

In my previous role at an EdTech company, I managed student billing and loan documentation, ensuring compliance and timely communications. I am particularly drawn to TripleTen’s mission of making tech education accessible and would welcome the opportunity to contribute to your team’s operational excellence.

Thank you for considering my application. I look forward to the possibility of discussing how my background aligns with the needs of your payments operations team.

Sincerely,
[Your Name]

Describe your experience with payment processing and reconciliation. How do you ensure accuracy when handling large volumes of transactions?
In my previous role, I processed over 500 student payments monthly using a billing platform. I reconciled transactions by cross-referencing payment records with bank statements and our CRM. To ensure accuracy, I implemented a double-check system where I reviewed each batch and used Excel formulas like VLOOKUP and conditional formatting to flag discrepancies.
How do you handle multiple priorities and tight deadlines in a fast-paced environment?
I prioritize tasks based on urgency and impact, using tools like Trello and a daily checklist. For example, during the enrollment peak, I managed payment plan adjustments, refunds, and loan documentation simultaneously by batching similar tasks and setting time blocks. I also communicate proactively with stakeholders about timeline expectations.
Can you explain a time when you identified a process improvement in an operational workflow? What was the outcome?
At my last job, I noticed that the refund process was manual and error-prone. I proposed creating an automated refund calculator in Excel with validation rules, which reduced processing time by 30% and eliminated calculation errors. This improvement was adopted by the team and led to fewer student complaints.
How do you maintain data integrity across multiple systems? Provide an example.
I ensure data integrity by performing regular audits and using cross-referencing techniques. For instance, I created a monthly reconciliation report that compared enrollment data from our CRM with billing system records. Any mismatches were investigated and resolved before the next billing cycle, maintaining 99.9% accuracy.
Why are you interested in working for an EdTech company like TripleTen?
I am passionate about education and technology, and I believe TripleTen’s mission to provide accessible tech training is impactful. I enjoy operational roles where I can directly contribute to student success by ensuring smooth payment processes, which ultimately supports their learning journey. The remote and global nature of the team also appeals to me.

Description

TripleTen is an EdTech company that designs and runs tech career learning programs for the US and Latin American markets. We’ve been doing it for over five years, teaching complete beginners — people with no prior tech background — through cohort-based programs built on our own platform and curriculum, developed in partnership with Nebius AI. Our team is fully remote and globally distributed, and we serve a large, active student base across both regions.

We are looking for a Payments Operations Specialist to support the end-to-end student payment lifecycle, including payment processing, loan operations, documentation management, refund handling, and cross-functional coordination, while ensuring accuracy, efficiency, and an excellent student experience.

What you will do

  • Manage and process student payments, ensuring accuracy across payment schedules, billing records, and partner systems.
  • Support loan operations by reviewing eligibility requirements, coordinating documentation, and maintaining accurate records throughout the approval process.
  • Maintain and validate payment data, reconcile transactions, and monitor enrollments to ensure data integrity across systems.
  • Process and manage student documentation, including enrollment agreements, academic records, and other operational documents.
  • Collaborate with internal teams to resolve payment-related inquiries, refunds, documentation requests, and operational issues.
  • Handle payment operations workflows, including payment plan adjustments, program transfers, payment link generation, and issue resolution.
  • Calculate, process, and communicate student refunds in a timely and accurate manner.
  • Monitor recurring payment plans, proactively identifying and addressing payment issues to support a positive student experience.
  • Contribute to the continuous improvement of operational processes, documentation, and team workflows.

Please note: The Payments Operations Team manages several operational streams. In this role, you will focus on a specific area while collaborating closely with the broader team.

Requirements

  • 1+ year of experience in an operational role within an IT, SaaS, EdTech, or other technology-driven environment.
  • Advanced English communication skills, both written and spoken.
  • Advanced Excel skills, including complex formulas (e.g. XLOOKUP, INDEX/MATCH), data validation, reporting, and working with large datasets.
  • Experience working with operational systems such as billing platforms, CRM tools, help desk systems, or data management tools.
  • Strong analytical and problem-solving skills, with the ability to investigate issues, identify root causes, and make data-driven decisions.
  • Excellent attention to detail and a high level of accuracy when working with financial, operational, and student-related data.
  • Ability to manage multiple priorities simultaneously while maintaining strong organization and time-management skills.
  • Comfort working with routine operational tasks while continuously identifying opportunities to improve processes and increase efficiency.
  • Ability to thrive in a fast-paced environment with changing priorities and incomplete information.
  • Proactive mindset with a strong sense of ownership and accountability.
  • Experience using collaboration and documentation tools such as Slack, Notion, or similar platforms.
  • Strong interpersonal and stakeholder management skills, with the ability to collaborate effectively across different teams and functions.
  • Interest in technology, online education, and digital products.
  • Experience building or documenting operational processes is a plus.
  • Familiarity with automation tools and workflow optimization is a plus.

What we can offer you

  • Full-time remote collaboration;
  • Compensation for part-time collaboration is 600 USD per month.
  • A comfortable digital office. We use modern digital tools— Miro, Notion, Google Meet, etc.— to make the process of working together seamless.
  • Growth. Our product is expanding quickly, so it’s a great time to get on board and challenge yourself.
  • Diverse and tight-knit team which is spread out across Israel, Serbia, USA, Georgia, Armenia and more.
