Sample interview questions
How would you build an integrated plan for a large HHS hybrid conference?

I would begin with the PWS deliverables, event objectives, attendee profile, and critical dates. I would create a workback schedule covering registration, agenda development, speaker readiness, platform configuration, AV, accessibility, rehearsals, communications, and closeout, then assign owners, dependencies, risks, and decision points. I would review the plan regularly with the Project Manager and Government leads and maintain action and decision logs.

Describe how you would handle a critical technical issue during a live hybrid event.

I would use the established escalation path and contingency procedures, quickly confirm the issue's impact, and coordinate the platform, AV, and venue teams on a recovery action. I would keep the master run of show current, provide concise status updates to the appropriate event lead, and use prepared alternatives such as a backup presentation, moderated Q&A, or recorded content when needed. After the event, I would document the incident, resolution, and preventative actions.

How do you support senior government officials and VIP speakers while maintaining professional boundaries?

I provide proactive logistical support through detailed arrival instructions, speaker briefs, green-room coordination, schedule management, and a clear point of contact. I communicate respectfully and concisely, anticipate needs, and ensure changes are documented and approved through the appropriate Government and project leadership channels. I do not make inherently governmental decisions or commit funds without authorization.

What steps would you take to make an event accessible and Section 508 conformant?

I would incorporate accessibility into planning rather than treat it as a final review item. This includes accessible registration and virtual-platform features, captioning, accessible presentation templates, document tagging, clear visual contrast, accommodation tracking, and testing of attendee-facing materials. I would validate requirements with Government stakeholders and vendors before launch and during readiness reviews.

How do you manage vendors and control event-related costs?

I define scopes, delivery dates, acceptance criteria, and escalation contacts early, then track vendor performance against the approved plan. For purchases, I obtain multiple quotes where feasible, document comparisons and approvals, and closely monitor onsite additions or scope changes before authorizing action. I maintain transparent records so the Project Manager and COR have timely visibility into risks and incremental costs.

Team, Vendor, and Cost Oversight

  • Coordinate staff assignments for Arlo personnel and HHS volunteers during events, and provide daily direction to event support staff in coordination with the Project Manager.
  • Serve as liaison with AV and production vendors, photographers, videographers, banquet teams, and other subcontractors, validating deliverables and resolving service issues.

  • Contribute event content to Monthly Program Status Reports and the Annual Progress Report, and prepare progress reports ahead of each status meeting.
  • Develop and deploy Government-approved participant assessments, compile results, and lead post-event briefings with the COR and Government stakeholders.
  • Prepare post-event summaries, lessons learned, and after-action reports, and track outstanding follow-up actions through closure.
  • Ensure all work products meet PWS standards for accuracy, clarity, timeliness, and format, are Section 508 conformant, and are editable and transferred to the Government-designated repository.

Minimum Qualifications Including Certificates:

  • Bachelor’s degree in business, communications, hospitality, public administration, or a related field.
  • Five or more years of experience planning and executing large-scale in-person, virtual, and hybrid events, including at least two years in a lead or management role.
  • Demonstrated project management skills, including scheduling, risk and issue tracking, stakeholder management, and deliverable management.
