Sample interview questions
How have you managed high-volume contingent staffing for urgent project needs?

I begin by clarifying the required skills, start date, volume, and screening criteria, then build parallel sourcing channels across existing talent pools, LinkedIn Recruiter, referrals, and job boards. I use daily pipeline reviews and clear stage-level ownership to keep candidates moving from outreach through onboarding. I report progress against fill-rate and time-to-start targets so stakeholders can make fast tradeoffs when demand changes.

What steps do you take to reduce time-to-first-billed-hour?

I map every handoff from offer acceptance to system access, contract completion, compliance, training, and assignment. I set expectations with candidates early, monitor incomplete steps daily, and escalate blockers immediately to the relevant operations or delivery owner. This creates accountability around the full activation process rather than treating acceptance as the end of recruiting.

How do you assess candidates quickly without compromising quality?

I use a structured intake scorecard tied to the project’s must-have skills, availability, communication requirements, and compliance needs. Screening is focused on evidence of relevant work, scenario-based questions, and targeted assessments when appropriate. For high-volume roles, calibration with delivery leads after early placements helps refine the profile and improve quality at scale.

Describe how you would handle a client request that cannot be staffed within the requested timeline.

I would quickly validate the labor-market constraints, pipeline data, and non-negotiable requirements before presenting options to the delivery lead and client stakeholder. Options might include adjusting the skill mix, widening the candidate pool, changing the start sequence, or redeploying qualified contractors from another project. I would communicate risks transparently while continuing to source against the agreed priority plan.

Which staffing metrics do you use to improve operational performance?

I track fill rate, time-to-staff, time-to-first-billed-hour, source conversion, offer acceptance, onboarding completion, utilization, and redeployment rates. I segment the data by role type, project, source, and pipeline stage to identify bottlenecks. I then use those findings to improve sourcing allocation, screening criteria, stakeholder handoffs, and candidate follow-up.

About The Role

The Staffing Associate at Invisible Technologies gets qualified experts onto client projects and billing fast. Working with the Sr. Manager, Staffing, you’ll turn client demand into staffed, productive teams: sourcing and vetting contractors, matching them to the right engagement, and moving them through onboarding to their first billed client hour. Demand shifts quickly, and projects often need to be staffed in days, not weeks.

This is a 6-month, 40-hour-per-week contract with real potential to extend or convert. It suits a seasoned, agency-trained staffing professional who measures success in fill rates and billed hours, thrives on urgency, and wants to make an immediate impact.

What You’ll Do

  • Staff client projects end to end, turning incoming client demand into qualified contractors who are onboarded and billing hours.
  • Partner with delivery and operations leads to understand each project’s skill, volume and timeline needs, then build a staffing plan to meet them.
  • Source high volumes of contractors and subject-matter experts through LinkedIn Recruiter, job boards, referrals, talent communities and existing talent pools.
  • Screen and vet candidates quickly against project requirements, including skills assessments where needed.
  • Match and assign contractors to the right engagements, balancing skills, availability and client priorities.
  • Move contractors from offer through contracting, onboarding and training to their first billed hour, clearing blockers along the way.
  • Track every contractor’s path to billing and follow up quickly with anyone who stalls between acceptance and active work.
  • Redeploy contractors as projects ramp up, wind down or change scope to keep utilization high.
  • Re-prioritize daily as urgent client needs open, working alongside the Sr. Manager, Staffing.
  • Keep the ATS and staffing trackers accurate and report weekly on fill rate, time-to-staff, time-to-first-billed-hour and utilization.

What We Need

  • 5+ years of recruiting or staffing experience, including meaningful time in a staffing agency with a track record of meeting fill, placement and billable-hours targets.
  • Proven success in high-volume contract or contingent staffing, filling dozens of seats at once while keeping quality high.
  • A strong sense of urgency: you’re energized by tight deadlines and can get qualified contractors from first contact to working in days.
  • Advanced sourcing skills, including Boolean search, LinkedIn Recruiter and creative channels for niche or hard-to-find skills.
  • Experience managing contractor onboarding, including contracts, compliance and readiness, in partnership with operations teams.
  • Comfort working directly with delivery teams and client stakeholders, and pushing back when needed to keep staffing on track.
  • Hands-on expertise with an ATS or staffing system (e.g., Greenhouse, Bullhorn, Workday, iCIMS) and strong spreadsheet skills for tracking pipelines.
  • Sound judgment with confidential candidate, rate and client information.
