Sample interview questions
How have you ensured accuracy when maintaining employee records across HRIS, ATS, and payroll systems?

I use standardized data-entry procedures, validate key fields against source documentation, and conduct recurring reconciliation reports between systems. When discrepancies appear, I document the root cause, coordinate with the responsible team, correct the record, and track the resolution to prevent recurrence.

Describe how you would build and maintain an HR KPI report for leadership.

I would first confirm the metric definitions, owners, reporting cadence, and data sources for measures such as headcount, turnover, time-to-fill, hiring volume, and retention. I would validate the underlying data, create a clear dashboard or report with trend comparisons, and highlight material changes, data limitations, and recommended follow-up actions.

How would you coordinate a new hire from accepted offer through onboarding?

I would confirm offer acceptance, initiate required pre-employment steps, ensure the employee record and payroll details are complete, coordinate benefits eligibility and enrollment communications, and prepare onboarding documentation. I would also maintain a checklist, communicate deadlines to stakeholders, and verify that all actions are completed before the start date.

Tell us about a time you improved an administrative or reporting process.

I would assess the current workflow to identify manual steps, recurring errors, and unclear ownership. For example, I could standardize a recurring report template, introduce validation checks and a shared deadline tracker, then document the process so the team can produce timely, more consistent results.

How do you handle sensitive employee questions when you do not immediately know the answer?

I acknowledge the request promptly, protect confidentiality, and clarify the facts needed to research the issue. I review the applicable policy and system information, consult HR leadership or the appropriate specialist when necessary, and provide the employee with an accurate, professional response and clear next steps.
