Sample interview questions
How would you assess and balance workload across a team of Administrative Coordinators supporting different leaders?

I would establish a consistent capacity model using factors such as leader complexity, meeting volume, travel requirements, time-zone coverage, recurring operational work, and escalation frequency. I would review the data regularly with coordinators and stakeholders, then rebalance coverage or adjust priorities before service quality declines.

Describe how you would create scalable documentation for a global administrative support program.

I would begin by identifying high-frequency and high-risk workflows, then partner with experienced coordinators to document clear standards, decision trees, templates, and ownership. Documentation would live in a searchable central knowledge base, have assigned owners, and be reviewed on a regular cadence based on policy changes, user feedback, and operational metrics.

How do you provide performance feedback to administrative professionals while maintaining trust and morale?

I use timely, specific feedback tied to observable behaviors, program standards, and the impact on supported leaders. I balance developmental coaching with recognition, agree on concrete next steps, and hold regular follow-ups so individuals receive the support, training, and clarity needed to improve.

Tell us how you would handle an escalation from an executive stakeholder about the quality of administrative support.

I would acknowledge the concern promptly, gather facts from the stakeholder and coordinator, and assess the issue against the program's scope and service standards. I would communicate a clear resolution plan, address immediate needs, coach or support the coordinator as appropriate, and look for a process change if the issue reveals a broader program gap.

What metrics would you use to evaluate the health of the Administrative Coordinator program?

I would track workload distribution, coordinator utilization and coverage, onboarding readiness, stakeholder satisfaction, service-quality trends, escalations, response or completion times for key workflows, retention, and documentation adoption. I would use both quantitative measures and regular qualitative feedback to avoid optimizing for volume at the expense of sustainable, high-quality support.
