Sample interview questions
How would you prioritize a CMO's calendar when several urgent requests arrive at once?

I would assess each request against strategic impact, urgency, decision dependencies, and the CMO's stated priorities. I would offer clear trade-offs and alternatives, such as delegating attendees, shortening meetings, or moving lower-impact commitments, then communicate changes promptly and professionally.

Describe an AI-enabled workflow you would create for executive support.

I would build a workflow that gathers meeting context from calendars, shared documents, CRM notes, and recent communication, then uses approved AI tools to draft a concise briefing with objectives, attendees, open decisions, and follow-up actions. I would verify sensitive details before sharing and continuously refine the workflow based on feedback.

How do you protect confidential information while supporting an executive?

I use need-to-know access, carefully manage document permissions and distribution lists, verify recipients before sending sensitive communications, and avoid discussing confidential matters in unsecured settings. I also maintain clear records while separating sensitive executive materials from general operational documentation.

What would you do if you noticed the same administrative problem affecting leadership meetings every week?

I would identify the root cause, gather input from the people involved, and propose a lightweight fix such as a standardized agenda template, decision log, automated reminders, or a clearer meeting cadence. I would implement the solution, measure whether it reduced friction, and adjust it as needed.

How do you manage complex travel across time zones with minimal disruption?

I begin with the executive's priorities, preferred travel patterns, meeting commitments, and contingency needs. I create a detailed itinerary with buffers, confirmation tracking, local time-zone visibility, ground transportation, and backup options, then monitor changes proactively and resolve issues before they affect the traveler.

Company Operating Rhythm

At Deepgram, we expect an AI-first mindset—AI use and comfort aren’t optional, they’re core to how we operate, innovate, and measure performance.

Every team member who works at Deepgram is expected to actively use and experiment with advanced AI tools, and even build your own into your everyday work. We measure how effectively AI is applied to deliver results, and consistent, creative use of the latest AI capabilities is key to success here. Candidates should be comfortable adopting new models and modes quickly, integrating AI into their workflows, and continuously pushing the boundaries of what these technologies can do.

Additionally, we move at the pace of AI. Change is rapid, and you can expect your day-to-day work to evolve just as quickly. This may not be the right role if you’re not excited to experiment, adapt, think on your feet, and learn constantly, or if you’re seeking something highly prescriptive with a traditional 9-to-5.

Team Overview

You’d be the right hand to our CMO and a force multiplier for the marketing leadership team. Marketing owns how the world discovers what Deepgram can do, and the CMO’s time and focus are among the highest-leverage resources we have. Your job is to protect that leverage: keep the operation running cleanly enough that leadership stays heads-down on the work that moves the business, and connect the dots across teams so the right things meet at the right time.

Key Goals

  • Protect and optimize the CMO’s calendar — partner with them to set and re-sequence priorities as the picture shifts, so their time lands on strategic work rather than reactive fire drills

  • Run the marketing leadership operating cadence (staff meetings, QBRs, offsites, planning cycles) and coordinate with adjacent teams — RevOps, Comms, People — so cross-functional work lands without the CMO having to chase it

  • Build Human+AI workflows for scheduling, inbox triage, and meeting prep that cut recurring admin turnaround by [X]%

  • Spot recurring friction in how leadership operates and ship [1–2] fixes a quarter — a template, a cadence, an automation — instead of absorbing the same problem every week

  • Own complex travel and logistics with zero missed connections, and close expenses same-day

  • Keep confidential and sensitive matters secure, handling delicate information with total discretion

Minimum Skills, Knowledge & Capabilities

  • Operates AI-native — designs Human+AI workflows for scheduling, drafting, and meeting prep rather than doing every task by hand

  • Builds lightweight systems that eliminate recurring admin work instead of re-solving it each week

  • Identifies problems in how the office runs and proposes practical solutions within the function

  • Coordinates across teams and programs, not just within a single leader’s calendar

  • Exercises sound judgment and discretion with confidential and sensitive information

  • Juggles competing priorities across time zones and calendars without dropping details

  • Communicates clearly and professionally with senior stakeholders, internal and external

  • Anticipates needs and resolves problems before they reach the CMO’s desk

Preferred Qualifications (nice-to-have, not required)

  • Typically ~1–3 years supporting leaders or coordinating across teams, or equivalent demonstrated experience

  • Prior experience supporting a senior leader or executive, [in a fast-moving startup or high-growth tech environment]

  • Hands-on with modern AI tools for drafting, summarizing, and automating repetitive work

  • Familiarity with common exec-support tooling — [calendar, travel, expense, and comms platforms]

Our Values

  • Be You — bring your whole self and a different perspective; diverse viewpoints make our products better.

  • Be Curious — challenge the status quo, keep learning, and ask ‘how might we?’ instead of accepting limits.

  • Grow Together — push each other to do great work, treat feedback as a gift, and leave the drama out.

  • Do the Right Thing — act with integrity and candor, assume best intent, choose ethics over expediency.

  • Think Smart. Act Fast. — weigh the high-leverage options, decide, and move; no analysis paralysis.

  • Put the Customer First — listen with empathy, understand their goals, and let their success drive ours.

We know the confidence gap and imposter syndrome can get in the way of meeting great candidates — so please don’t hesitate to apply. We’d love to hear from you.
