Sample interview questions
How do you ensure invoices are processed accurately and on time?

I validate vendor details, purchase-order or approval support, coding, tax treatment, and payment terms before entering an invoice. I use a structured queue and exception log to prioritize due dates, resolve missing information quickly, and perform periodic quality checks before payment runs.

Describe how you would investigate a discrepancy in a supplier statement.

I would compare the supplier statement with the AP ledger, invoice images, payment records, credit notes, and open purchase orders. After identifying whether the issue is a duplicate, unrecorded invoice, payment timing difference, or vendor error, I would document the resolution and communicate clearly with the supplier and internal stakeholders.

What controls are important in an accounts-payable process?

Key controls include segregation of duties, documented approval workflows, restricted vendor-master changes, duplicate-invoice checks, payment authorization, reconciliation of bank and AP records, and an audit trail for exceptions. I also monitor aging and unusual transactions to identify risks early.

How have you used spreadsheets to improve financial operations?

I use structured spreadsheets with validation rules, lookup formulas, pivot tables, and reconciliation templates to organize invoice data and identify exceptions. For recurring work, I standardize inputs and automate calculations where possible so reviews are faster and less prone to manual error.

How would you identify an opportunity to automate a procure-to-pay workflow?

I would map the current process, measure manual touchpoints and recurring exceptions, and identify tasks that follow consistent rules, such as invoice routing, coding suggestions, or payment-status reporting. I would then propose a controlled solution, test it with stakeholders, document the process, and track accuracy and cycle-time results after implementation.
