Sample interview questions
Describe a 0-to-1 operational initiative you led in an ambiguous environment.

I start by defining the customer or business problem, desired measurable outcome, constraints, and decision owners. I then develop a lightweight operating plan, test assumptions with stakeholders and data, launch an initial version, and establish metrics and review cadences to iterate toward scale.

How do you use data to prioritize operational improvements?

I combine quantitative signals such as volume, cycle time, error rates, cost, and customer impact with qualitative feedback from frontline teams. I prioritize opportunities by expected impact, confidence, effort, risk, and alignment with company objectives, then make the trade-offs transparent to stakeholders.

How would you create alignment among Product, Data, and Operations teams with competing priorities?

I would clarify the shared business outcome, document each team’s dependencies and constraints, and facilitate a decision-oriented working session. From there, I would define ownership, milestones, success metrics, and escalation paths so that progress and trade-offs remain visible.

What approach would you take to managing a growing operations team?

I would set clear goals and decision rights, create repeatable operating rhythms, and ensure each person understands how their work connects to company outcomes. I would also provide regular feedback, coaching, and development opportunities while using metrics to identify process or capacity gaps.

How do you ensure a new process remains scalable after launch?

I define leading and lagging metrics before launch, document workflows and ownership, and build feedback loops with the people using the process. I review performance at regular intervals, automate high-volume manual steps where appropriate, and adjust the design as volume, customer needs, or business priorities change.

About this role.

1 in 4 people in the US have a treatable mental health condition, but most providers don’t accept insurance, making therapy too expensive for most people. Headway’s mission is to fix this by building a new mental healthcare system everyone can access. We started by solving the biggest barrier to care: insurance. The admin work – credentialing, claims, payment reconciliation – is a nightmare. We’ve automated that.

But we’re going further. Over 90,000 providers across all 50 states run their practice on our software, serving over 2.6 million patients. We are building the best tools for therapists to run their entire practice, reimagining the experience of finding a therapist, and investing in the platform foundations to enable this at scale, and building much of it with AI. We aren’t just a billing layer; we are becoming the platform where care actually happens.

We’re a Series D company with $325M+ in funding (a16z, Accel, Spark Capital, etc.), looking for exceptional people to help us achieve this mission. We want your time here to be the most meaningful experience of your career. Join us, and help change mental healthcare for the better.
