About this role.

ABOUT QUINCE

Quince is a destination for builders, creators, innovators, and operators who want to come together and challenge the status quo. Our mission is simple: make really high quality essentials for really low prices, fairly and sustainably. We deliver on that mission through a unique manufacturer-to-consumer (M2C) model eliminating the layers of traditional retail that add cost and result in consumers paying more than they need to. We find, build relationships with, and work directly with the manufacturing partners behind some of the world’s finest products. From there, our teams design smart, efficient operational processes and build and deploy proprietary technology, AI, and analytics to help us scale fast.

What began with a small assortment of elevated basics has quickly grown into a cross-category brand spanning apparel, accessories, home goods, and more. Today, tens of millions of people across a growing number of countries come – and return – to Quince because they trust us to deliver.

OUR CULTURE

Quince is a culture built for builders by builders. Our way of working starts with a blank sheet of paper. We question conventional thinking, use technology and data to uncover new opportunities, and move quickly to turn ideas into reality. We aren’t interested in replicating how others do retail. We’re building a better way – at a speed and scale unlike anything that’s been done before.

  • We dream big and chase the hard problems others shy away from. Rejecting long-held assumptions is part of our company’s DNA. Where conventional wisdom says you have to choose – soft or durable, speed or rigor, quality or price – we ask why that trade-off has to exist in the first place.
  • Our pace is fast and the bar is high because our customers expect a lot from us and we refuse to let them down. We believe the best results come from challenging ourselves, learning from one another, and building on each other’s strengths.
  • Here, responsibility is not determined by role, tenure, or seniority. Every team member – no matter their level – has the opportunity to drive our business and shape our trajectory.

If you’re someone who likes to imagine new possibilities and build better systems rather than plug-in to outdated ones, Quince is the place for you.

THE IDEAL CANDIDATE:

The Manager, Return to Vendor (RTV) is a key individual contributor within the Sourcing organization responsible for overseeing the end-to-end RTV process across the company’s retail and e-commerce supply chain. The ideal candidate is highly analytical, a skilled negotiator, and comfortable operating cross-functionally with Merchandising, Quality, Logistics, Finance, and Vendor partners.

RESPONSIBILITIES:

RTV Program Ownership

  • Own and manage the full RTV lifecycle — from claim initiation through resolution, credit receipt, or physical return logistics.
  • Establish and maintain a centralized RTV tracking system; monitor open claims, aging balances, and recovery rates.
  • Develop and enforce RTV policies, standard operating procedures, and escalation protocols.
  • Partner with Buying and Planning teams to identify and prioritize RTV candidates across categories.

Vendor Negotiation & Relationship Management

  • Lead direct negotiations with vendor partners to secure credits, replacements, or return authorizations in alignment with contractual terms.
  • Build and maintain productive vendor relationships while assertively advocating for the company’s financial interests.
  • Review and interpret vendor contracts and purchase order terms related to returns, defects, and chargebacks.
  • Identify recurring quality or compliance issues with vendors and escalate to the Sourcing Director for strategic action.

Cross-Functional Collaboration

  • Collaborate with the Logistics and Warehouse teams to coordinate physical return shipments, disposition of goods, and inbound/outbound documentation.
  • Partner with Finance and Accounts Payable to ensure timely posting of vendor credits and accurate reconciliation of RTV balances.
  • Work with the Quality Assurance team to document and report on product defect trends to inform future sourcing decisions.
  • Support Buying teams during vendor onboarding to ensure RTV terms and expectations are clearly defined.

Reporting & Continuous Improvement

  • Produce regular reporting on RTV volume, recovery rate, aging claims, and open liabilities for senior leadership review.
  • Identify process gaps and implement improvements to reduce cycle time, increase recovery, and minimize dispute resolution time.
  • Benchmark RTV performance against industry standards and recommend best practices.

REQUIREMENTS:

  • 5+ years of experience in sourcing, procurement, vendor management, or supply chain — with direct RTV, chargeback, or vendor compliance exposure.
  • Demonstrated experience negotiating with vendor partners, including knowledge of contract terms, credit processes, and dispute resolution.
  • Strong analytical skills with the ability to manage large volumes of data and derive actionable insights.
  • Proficiency in Google Sheets; experience with ERP systems (SAP, Oracle, or equivalent) and inventory/order management platforms.
  • Excellent written and verbal communication skills with the ability to influence without authority across internal teams and external partners.
  • Highly organized with strong attention to detail and the ability to manage multiple open claims and priorities simultaneously.

Sample interview questions
Describe an RTV or vendor-credit program you have managed from claim initiation through final resolution.

I would explain the claim intake criteria, supporting documentation, ownership model, escalation process, and tracking cadence. I would also quantify results such as recovery rate, aging reduction, cycle-time improvement, or avoided inventory loss.

How do you prepare for a negotiation with a vendor regarding defective or non-conforming merchandise?

I gather purchase-order and contract terms, inspection or quality evidence, shipment records, historical vendor performance, and the financial value at risk. I enter the discussion with a clear preferred outcome, acceptable alternatives such as credit or replacement, and a documented escalation path.

What metrics would you use to evaluate the health of an RTV program?

I would track total RTV value, recovery rate, open-claim aging, average resolution cycle time, credit receipt timeliness, return-logistics cost, dispute rate, and recurring defect trends by vendor and category. These metrics reveal both financial recovery performance and underlying supplier-quality issues.

How would you ensure vendor credits are accurately reflected in financial records?

I would maintain a centralized claim register tied to purchase orders, return authorizations, credit memos, and expected recovery amounts. I would establish a recurring reconciliation process with Accounts Payable and Finance to resolve variances, confirm posted credits, and escalate overdue balances.

Tell us how you would improve an RTV process that has inconsistent documentation and a growing backlog of old claims.

I would first segment the backlog by value, age, vendor, and likelihood of recovery, then prioritize high-value and time-sensitive claims. Next, I would standardize evidence requirements, ownership, approval thresholds, and escalation timelines while implementing a visible tracker and regular cross-functional review cadence.
