Project Coordination IT Infrastructure MS Project Smartsheet Hardware Deployment Customer Support Team Collaboration Financial Reporting Problem Solving MS Office

Dear Hiring Manager,

I am writing to express my strong interest in the Project Coordinator, IT Infrastructure position at World Wide Technology. With over 2 years of experience coordinating complex IT projects and a Bachelor's degree in Business, I am confident in my ability to support your infrastructure services team effectively.

In my previous role, I successfully managed multisite hardware deployments and utilized MS Project and Smartsheet to track timelines and budgets. My strong communication skills enable me to collaborate seamlessly with customers and cross-functional teams, ensuring projects are delivered on time and within scope.

I am particularly drawn to WWT's commitment to innovation and its Advanced Technology Center. I am eager to contribute to your mission of accelerating digital transformation while growing my career in a supportive environment.

Thank you for considering my application. I look forward to the opportunity to discuss how my skills align with your needs.

Sincerely, [Your Name]

Can you describe your experience with coordinating multisite hardware deployments?
In my previous role, I coordinated the rollout of network switches across 20 locations. I managed vendor schedules, tracked shipping, and ensured on-site technicians had the necessary documentation. I used Smartsheet to update deployment status and communicated daily with site leads to resolve any issues promptly.
How do you prioritize tasks when managing multiple project timelines?
I use a combination of T-scheduling and MS Project to visualize dependencies and critical paths. I regularly communicate with stakeholders to confirm priorities and adjust timelines as needed. For example, I recently had to reprioritize a server upgrade because a critical client deadline changed; I reallocated resources and updated the schedule within 24 hours.
Describe a time you had to manage a project with a tight budget.
While deploying new workstations for a client, we faced a 10% budget cut. I renegotiated with hardware vendors and optimized the deployment schedule to reduce overtime costs. I also implemented a tracking sheet to monitor expenses daily, ensuring we stayed within the revised budget while meeting all milestones.
How do you ensure effective communication with customers and team members?
I establish a communication plan at project kickoff, defining cadence for status meetings and reporting. I use SharePoint for document sharing and send weekly email summaries. For urgent issues, I ensure everyone has my mobile number. In one project, I created a dashboard in Smartsheet that allowed the customer to view real-time progress, which greatly improved transparency.
What project management methodologies are you familiar with and how have you applied them?
I am familiar with both Waterfall and Agile methodologies. For infrastructure projects, I typically use a hybrid approach: Waterfall for hardware procurement and installation phases, and Agile for configuration and testing sprints. I have used Kanban boards to track tasks during the testing phase, which helped identify bottlenecks early.
