Dear Hiring Manager,

I am excited to apply for the Procurement Operations Coordinator position at Gordian. With a Bachelor's degree in Business and over three years of experience in procurement and contract administration, I have honed my skills in purchase order processing, data reconciliation, and cross-functional collaboration. In my previous role, I successfully managed procurement workflows for multiple projects, ensuring accuracy and timely delivery while maintaining strong relationships with clients and internal teams.

I am particularly drawn to Gordian's mission of providing essential technology for safety and productivity, and I am eager to contribute to the NYC Department of Education portfolio. My proficiency in Microsoft Excel and experience with ERP systems make me well-suited to handle the data-intensive aspects of this role. I thrive in fast-paced environments and am adept at prioritizing competing demands to meet deadlines.

Thank you for considering my application. I look forward to the opportunity to discuss how my background aligns with Gordian's goals.

Sincerely,
[Your Name]

Can you describe a time when you had to resolve a discrepancy in a purchase order? How did you handle it?
In my previous role, I noticed a mismatch between a PO and the invoice. I immediately contacted the supplier to verify the quantities and prices, and cross-referenced with the project manager's records. By communicating clearly and documenting the correction, we updated the PO and avoided a payment delay.
How do you prioritize tasks when managing multiple projects with competing deadlines?
I use a combination of tools like Smartsheet and regular check-ins with stakeholders. I assess urgency and impact, then create a task list with deadlines. I also proactively flag any risks to the project manager to adjust priorities as needed.
How do you ensure data integrity when processing purchase orders across different systems?
I rely on double-checking entries, cross-referencing with source documents, and using system validations. I also maintain a log of all transactions for audit trails. Regular reconciliation between systems helps catch errors early.
Describe your experience with ERP systems. How have you used them to improve procurement efficiency?
I have worked with Oracle and SAP, where I automated PO creation and tracking. By setting up approval workflows and dashboards, I reduced processing time by 20% and improved visibility for the finance team.
This role involves working with public sector clients. Are you familiar with any specific procurement regulations or compliance requirements?
I have experience with public sector procurement, including knowledge of competitive bidding requirements and documentation standards. I am comfortable with audit processes and maintaining records in compliance with government regulations.
