Cover letter sample

Dear Hiring Team,

I am excited to apply for the Legal Operations Coordinator contract role at Grove Collaborative. With experience supporting legal operations, contract workflows, document management, and cross-functional compliance processes, I am prepared to independently manage recurring workstreams while maintaining the discretion and rigor required in a public-company legal environment.

I bring strong operational discipline in contract intake, e-signature administration, records management, vendor coordination, and invoice review, along with the ability to work effectively with Finance, IT, and other business partners. I am also comfortable learning new legal technology quickly and using AI-enabled tools thoughtfully to improve workflow efficiency.

Grove’s sustainability mission and practical investment in legal operations are especially compelling to me. I would welcome the opportunity to provide dependable, proactive coverage for your legal team during this important transition.

Sincerely,
Your Name

Sample interview questions
Describe how you have independently managed a contract lifecycle process from intake through execution and archiving.

In my prior role, I managed contract requests through a centralized intake process, checked submissions for completeness, routed agreements to the appropriate reviewer, monitored approval status, coordinated execution, and ensured final documents were stored under consistent naming and retention standards. I maintained a tracker for aging requests and escalated only items involving nonstandard terms, risk, or missed stakeholder deadlines.

How would you approach documenting and collecting evidence for a SOX-related legal process?

I would first confirm the control objective, process owner, required evidence, review cadence, and retention location. I would create a clear checklist and evidence tracker, collect supporting documentation from the relevant teams, validate that it demonstrates the control was performed, and organize it so an auditor can easily trace the evidence to the control. Any gaps or late evidence would be flagged promptly with a proposed remediation path.

What steps would you take when administering an e-signature platform during a migration from another tool?

I would document the target workflow, user roles, template requirements, permissions, and retention requirements before migrating. I would support users through concise guidance, troubleshoot access and workflow issues, monitor adoption, and maintain a log of recurring problems to improve training or configuration. I would also verify that completed agreements are properly retained and accessible after the transition.

How do you review outside counsel invoices and identify items requiring legal-team review?

I compare invoice entries against the engagement terms and billing guidelines, checking timekeeper rates, task descriptions, staffing patterns, expenses, and whether work appears duplicative or outside scope. I flag anomalies with specific references to the invoice and guideline, summarize the issue clearly, and route the item to counsel for a business or legal judgment rather than making assumptions.

How do you prioritize work when supporting senior legal leaders with multiple recurring deadlines?

I maintain a centralized tracker that distinguishes fixed deadlines, regulatory or board obligations, operational requests, and potential escalations. I prioritize items based on legal risk, due date, business impact, and dependencies, while providing concise status updates to stakeholders. When priorities conflict, I present the trade-offs early and seek direction only where a decision is needed.

Temporary Contract for Parental Leave Coverage | September 2026 – January 2027 | Remote

We are open to a full-time or part-time schedule | $28-34/hour

THE SHORT VERSION

We’re looking for an experienced Legal Operations Coordinator to join a three-person legal team at a public company and take ownership of recurring operational workstreams — contracts, e-signature administration, and compliance support — for about five months while our Legal Operations Lead is on maternity leave. Our GC and AGC will set priorities and be available for the genuinely novel calls, but the day-to-day execution is yours to run.

This is a strong fit if you’ve already built a real foundation in legal operations or paralegal work and are ready to own a workstream independently at a public company, working directly with a GC and AGC who’ll trust you to execute without close supervision.

WHAT YOU’LL OWN

Contracts & Legal Technology

  • Own Grove’s day-to-day contract lifecycle process end-to-end: intake via Tropic, triage, routing for review, execution, and archiving in Juro — running the process independently and escalating only genuine exceptions.
  • Administer Grove’s e-signature tools (Adobe Acrobat Sign and Google Workspace eSignature), including troubleshooting user issues, as Grove transitions off DocuSign.
  • Manage Legal’s vendor relationships directly: run regular check-ins and track renewal timelines, bringing decisions to counsel only when they call for judgment beyond process.

Compliance & Corporate Governance

  • Own SOX process documentation within Legal and cross-functionally — gathering and organizing audit evidence in coordination with Finance and Internal Audit without needing task-level direction.
  • Maintain the corporate calendar (board meetings, regulatory filing deadlines), track state registrations, and manage filing of completed board minutes.
  • Run point on the logistics of responses to data requests, subpoenas, or document productions, executing under counsel’s direction on strategy.
  • Monitor adherence to Legal policies and procedures company-wide, flagging gaps proactively rather than waiting to be asked.

Records, Billing & Insurance

  • Run Legal’s filing systems with discipline — naming conventions, document retention, and legal hold processes — as the person accountable for consistency, not just someone following a checklist.
  • Own legal billing review: track outside counsel invoices against billing guidelines and flag anomalies for review.
  • Manage Grove’s corporate insurance portfolio, including renewals, purchases, and claims.

YOUR TOOLKIT

You should already be comfortable picking up systems like these quickly — we’ll ramp you on Grove’s specific setup, not the underlying skill:

  • Tropic — Contract intake & procurement workflow
  • Juro — Contract repository & document management
  • Adobe Acrobat Sign / Google Workspace eSignature — E-signature
  • Confluence & Jira — Internal wiki, knowledge base, ticketing
  • Google Workspace — The full suite — Docs, Drive, Sheets, Slides, Gmail, Calendar
  • Slack — Primary communication channel, company-wide
  • Claude (Anthropic) — AI assistant for legal workflows — Chat and Cowork

WHAT WE’RE LOOKING FOR

  • 3–5 years of experience in legal operations, paralegal work, or in-house legal support, with a track record of owning recurring workstreams independently.
  • Genuine interest in public company legal operations; prior exposure to SOX or corporate governance processes is a strong plus.
  • Hands-on experience with tools like CLMs, e-signature platforms, or procurement systems — you don’t need our specific stack, but you should be well past the learning-the-basics stage.
  • Bachelor’s degree required. Paralegal certificate or coursework is a plus.
  • Clear, professional communication skills, and comfort driving cross-functional conversations with Finance, Marketing, IT, and Engineering without needing someone else to broker them.
  • Real comfort using AI tools as part of daily workflow, not just curiosity about them.
  • A default of discretion and professionalism when handling sensitive or confidential information.
  • Bonus: familiarity with Tropic, Juro, DataGrail, or similar platforms; background at a tech or e-commerce company.

WHAT TO EXPECT

  • Clear priorities and context from our GC and AGC, who set direction and trust you to run execution independently.
  • A focused onboarding to Grove’s specific tools and processes — you bring the underlying experience, we’ll handle the specifics.
  • Real ownership of how legal operations runs at a public company, with guidance available for genuinely novel situations, not routine ones.
  • A collaborative team that treats legal ops as a strategic function worth investing in.

WHY THIS GIG

  • You’ll get real ownership of public company legal operations workstreams, not busywork.
  • You’ll work directly with a GC and AGC who value legal ops and will treat you as someone who can run with it.
  • Grove is a Certified B Corp genuinely building a more sustainable consumer economy. The mission is real.
  • You’ll get exposure to how AI tools like Claude are used in daily legal workflows.
