I would identify the exact discrepancy, quantify its potential budget or timeline impact, and convene a focused alignment discussion with the relevant owners. I would document the agreed assumption, retain an audit trail of the decision, and avoid finalizing the change order until the input is reconciled or an authorized decision-maker accepts the stated risk.
I use formula audits, independent recalculation of key drivers, reasonableness testing against historical or baseline costs, checks for links and hard-coded values, and reconciliation of totals to detailed line items. I also review version control and ensure that all narrative assumptions match the final financial model.
I would present a concise summary of the change, followed by a transparent breakdown of the specific drivers, such as scope expansion, enrollment changes, country additions, timeline shifts, or revised resourcing. I would use plain language, connect each cost to the underlying assumption, and be ready to discuss alternatives or the impact of different scenarios.
I assess each request by contractual deadline, client impact, financial materiality, project risk, and completeness of inputs. I establish a visible tracker, communicate dependencies and expected delivery dates early, schedule alignment calls for unresolved items, and protect time for quality review before submission.
Position Summary:
The Change Order Manager will lead change order budget creation activities between project management, functional leads, and the financial analysts in order to develop, explain, and provide variance analysis for the change orders in preparation for presentation to the client. The Change Order Manager will contribute to the tracking and record keeping of change order requests in order to develop departmental metrics, and lead and/or actively participate in internal and client calls on a routine basis.
Essential functions of the job include but are not limited to:
• Work collaboratively with project management, financial analysts, functional leads, and other contributing parties in order to produce a high-quality change order which is meaningful, accurate, and in accordance with the changes in assumptions on a timely basis.
• Provide review of changes in assumptions to the budget in order to work with the extended project team to identify information gaps and/or discrepancies, unique service requirements in order to translate information into budgets.
• Actively communicate with the project team and other key stakeholders both within and outside the organization in order to support the timely and accurate delivery of change orders.
• Schedule and lead the change order alignment calls with the extended project team.
• Prepare, edit, and customize change order text to accurately reflect the strategic message, changes in assumptions, budget summaries, changes in resourcing, and additional financial requirements.
• Incorporate vendor and partner change orders into the main change order as applicable while ensuring accuracy and completeness.
• Ensure all information is accurate and clearly stated including assumptions, processes described, changes from prior executed agreements inclusive of resourcing updates, timeline shifts, country/site/patient changes, etc.
• Meticulous attention to the use of financial formulas to ensure an accurate change order which includes, but not limited to: cross checks, formula review, reasonable testing, etc.
Qualifications:
Minimum Required:
• Bachelor’s degree or equivalent in science, finance/accounting or related business field.
Other Required:
• A minimum of 5 years’ experience in proposal and/or change order preparation in an excel based costing tool and preparation of change order/contract documents
• Working knowledge of project budgets, financial analysis, advanced excel skills with a meticulous attention to detail.
Preferred:
• MBA Preferred
• Experience in the CRO industry
Competencies:
• Working knowledge of the life cycle of a project with a solid foundation of how the changes in assumptions impact the costings/budget and financial impact at each stage of the clinical trial.
• Strong Excel/Microsoft Office skills and ability to thrive in a multi-tasking environment.
