Sample interview questions
I use a structured checklist to verify customer details, billing contacts, pricing, discounts, taxes, payment terms, purchase order references, approvals, and contract alignment. I also review the account for credit holds, overdue balances, or notes that could affect processing, then document and escalate any exception before invoice generation.
I would pause processing to compare the contract terms, approved quote, purchase order, and order record. I would document the difference clearly, contact the appropriate sales, deal desk, or finance stakeholder for confirmation, and only update or release the order after receiving authorized resolution.
I compare payment remittance details, bank or payment records, invoices, credits, and customer correspondence to identify the intended application. If the payment cannot be matched confidently, I record the research performed, contact the customer or internal owner as needed, and keep the item tracked until resolved.
I prioritize work based on billing deadlines, revenue impact, aging exceptions, and dependencies that could block invoicing. I maintain an exception tracker, communicate risks early, and use regular status updates to ensure urgent order issues are resolved before close.
I use ERP or CRM records as the source of truth for order and customer data, while using spreadsheets to track exceptions, reconcile data, and identify missing fields or duplicate entries. I also apply validation rules and standardized templates to reduce manual errors and make follow-up more consistent.
