Dear Hiring Manager,

I am excited to apply for the Executive Assistant position at Canonical. With a strong background in organizational management and a keen eye for detail, I am confident in my ability to support your operations team. My experience in coordinating international events and managing executive schedules aligns well with the responsibilities listed.

I am particularly drawn to Canonical's distributed work environment and commitment to open source. I thrive in fast-paced, collaborative settings and take pride in ensuring efficient operations.

Thank you for considering my application. I look forward to the possibility of contributing to Canonical's success.

How do you prioritize tasks when supporting multiple executives with competing deadlines?
I use a combination of a centralized task management system and daily alignment meetings with each executive to understand their priorities. I assess urgency and impact, and communicate clearly when trade-offs are needed.
Describe a time you organized a complex international event. What steps did you take to ensure success?
I once organized a multinational conference with over 200 attendees. I started with a detailed project plan, secured venues and vendors early, coordinated travel and visas, and had contingency plans. Regular check-ins with stakeholders ensured alignment and smooth execution.
How do you handle a situation where a senior executive asks you to bypass a company policy?
I would respectfully explain the policy and the rationale behind it, and offer alternative solutions that comply with the policy. If necessary, I would escalate to the appropriate team to find a compliant solution.
Can you give an example of how you have improved a process in your previous role?
In my last role, I noticed the expense reporting process was slow. I introduced a digital tool that automated approvals and integrated with our accounting system, cutting processing time by 40%.
Why are you interested in working for a distributed company like Canonical?
I am drawn to the flexibility and global collaboration opportunities. I have experience working remotely and appreciate the trust and autonomy it requires. Canonical's culture of innovation and open source aligns with my values.
