About the Role
We’re looking for a Workplace Experience Coordinator to join our Facilities team in Prague – Emplifi’s largest global hub. This is not a traditional facilities role. You’ll be a business partner who owns the day-to-day experience of 100+ people: anticipating problems before they surface, keeping the office running seamlessly, and making Prague a place people are genuinely proud to work in.
What You’ll Do Here
Prague Office Operations (Local Ownership)
- Daily Excellence: Ensure the Prague office is a functional, safe, and inspiring
environment for our teams - Reception Coordination: Coordinate reception activities when required, including managing deliveries and incoming mail, handling postal services and post office visits as required, welcoming and assisting visitors, and ensuring meeting rooms are prepared with refreshments for guests
- Building & Facility Coordination: Liaise with building management, main reception, maintenance staff, and other facility service providers to support smooth office operations
- Vendor Management & Transitions: Manage and coordinate external service
providers, support the team in switching or auditing vendors to ensure the best value for the company - Health & Safety: Maintain local H&S standards, fire safety protocols, and ensure all office equipment is regularly serviced
- Supply Chain: Oversee procurement for office supplies, kitchen stock, and snacks, maintaining high standards while optimizing costs
- Internal Logistics: Coordinate physical office needs, including internal moves,
furniture adjustments, and managing storage spaces
People, Culture & Finance Cooperation
- Community Building: Organize local office events, wellness workshops, and celebratory moments (e.g., Kids’ Day, Holiday events), including coordinating event communications and announcements on Slack and the company Event Calendar
- Financial Administration: Manage the local office budget, process invoices, and ensure the “4-eyes principle” is followed for all facility-related payments
- Onboarding: Provide a warm welcome and office orientation for all new hires in the Prague office as well as remote locations virtually
What You’ll Bring to Us
- At least 3 years of professional experience in office management, facilities, or high-level administration
- You are a professional who doesn’t need to be micromanaged; you see a problem and own the solution
- You enjoy working in a close-knit team where responsibilities are shared, and everyone supports each other
- Fluency in Czech and English is essential (daily communication with local employees, vendors, and global stakeholders)
- Proficiency in Google Workspace (Docs, Sheets, Slides) and a natural ability to learn new software for space and subscription management
- You have a basic understanding of (or a strong curiosity about) how AI tools can help automate routine administrative tasks; you don’t need to be an expert, but you should be open-minded about using AI to improve efficiency and streamline workflows
