Sample interview questions
How would you handle a chargeback case from initial notification through representment submission?

I would first verify the dispute reason code, deadline, transaction details, and available evidence. I would gather relevant documentation from internal systems and the seller, ensure it directly addresses the reason code, complete required forms accurately, and submit the package before the processor deadline. I would then track the case outcome and document learnings or recurring issues.

What payment metrics would you monitor to identify potential operational problems?

I would monitor chargeback volume and rate, win rate, refund volume, authorization and decline rates, settlement exceptions, processor alerts, and aging of open cases. I would compare trends by processor, payment method, region, and seller where appropriate, then escalate material deviations with supporting data.

How would you investigate a seller report that a settlement amount appears incorrect?

I would validate the settlement period and compare the expected transactions, refunds, disputes, fees, reserves, and adjustments against the processor report. I would reconcile differences using transaction-level records, identify whether the issue is timing, a processor adjustment, or a data discrepancy, and communicate a clear next step to the seller and relevant internal teams.

How do you maintain accuracy when working across multiple payment tools and time-sensitive tasks?

I prioritize work by deadline, financial or customer impact, and escalation level. I use documented checklists, reconcile key fields before submission, keep case notes current, and flag ambiguities early rather than making assumptions. For recurring work, I look for patterns that can be added to SOPs or reporting controls.

Describe how you would communicate a payment-processing issue to a nontechnical seller.

I would explain the issue in plain language, describe the practical impact, specify what information or action is needed, and provide expected timing for the next update. I would avoid unnecessary processor terminology while remaining transparent about what is confirmed, what is being investigated, and when I will follow up.
